Privacy Policy

This Privacy Policy describes how Books Xperts (Pty) Ltd ("BooksXperts", "we", "us") collects, uses, and protects your personal information when you use our platform.

1. What we collect

When you create an account we collect your name, email address, and the details you provide about your company. When you use the platform we process the financial data you enter or upload (transactions, invoices, bank statements). We also collect technical data needed to operate the service (IP address, browser, pages viewed).

2. How we use it

We process your personal information to:

• Provide you with the BooksXperts platform and the services you sign up for
• Communicate with you about your account, security, and product updates
• Send you marketing communications about BooksXperts (with your explicit consent given at sign-up, in line with POPIA Section 69)
• Meet our legal and regulatory obligations

3. Your rights under POPIA

You have the right to:

• Access the personal information we hold about you — see your data export page
• Correct any inaccurate personal information
• Object to direct marketing — reply STOP to any marketing email
• Withdraw your consent at any time — see your account deletion page
• Lodge a complaint with the Information Regulator

4. Sharing your information

We do not sell your personal information. We share it only with service providers required to deliver the platform (cloud hosting, email delivery, payment processing) under written agreements that bind them to POPIA-compliant handling. Where we process your clients' data on your behalf, our Data Processing Agreement (POPIA s21 operator agreement) sets out our obligations as Operator.

5. Where your data is stored

Data is stored on Railway infrastructure (US data centre region). By accepting this policy you consent to that cross-border processing, which we apply reasonable security measures to protect.

6. How long we keep it

We retain your data for as long as your account is active. After cancellation we retain it for a further 5 years to comply with SARS / Companies Act record- keeping obligations, then delete it.

7. Security

We apply industry-standard security measures: TLS encryption in transit, encryption at rest for sensitive fields, role-based access control, two-factor authentication available on every account.
